Gua Sha Lead Times: Planning Production Around Your Launch

Planning a gua sha order around a launch date: production stages, DDP shipping by air, truck or sea, realistic lead times, and how volume buyers build a buffer into seasonal schedules.

Finished gua sha goods packed and staged for shipping
A launch date is a promise to your customers, your wholesalers and your own cash flow. Gua sha production has a predictable rhythm - but only if you count every stage between "order confirmed" and "goods in your warehouse", not just the factory production window. This is how volume buyers build a realistic schedule.

The Full Timeline, Stage by Stage

Production, inspection and packing run in sequence - freight starts after.

  1. Sampling and approval - physical sample made and approved, artwork confirmed. Count days, not hours: shipping a sample internationally takes its own week or two.
  1. Production - for branded stock shapes, typically 25-30 days after artwork approval. Unbranded stock can ship in as little as 3 days. Custom shapes add mould cutting before production starts.
  1. Inspection and packing - the final inspection pass and export packing, days not weeks, but it happens after production, not in parallel with it.
  1. Freight - most orders ship DDP, which includes customs clearance and delivery in one price. Express courier is days; DDP air is days-to-weeks; DDP sea is weeks depending on route and port. The freight leg is usually longer than buyers expect.
  1. Customs clearance and inland delivery - under DDP this is handled for you: customs clearance and delivery to your address are included in the price. If you manage freight yourself on FOB terms, allow a week or more depending on destination.
The planning mistake is counting only stage 2. The factory can only promise production days; everything else runs on your forwarder, your customs broker and the calendar.

Realistic Planning by Order Type

  • Stock shapes, no logo, urgent restock: days to about a week to ship, plus freight. The fastest route - use it for best-sellers, not launches.
  • Stock shapes with laser logo: 25-30 days production after artwork approval, plus freight. The standard for first branded orders.
  • Custom stone shape: add tooling and approval before the 25-30 day production window.
  • Custom stainless or ceramic shape: mould cutting and sample approval before production - plan the longest runway here.
  • Printed packaging: adds its own production step; the packaging supplier runs before final packing, so confirm it in the schedule.

Building a Buffer

Experienced buyers plan backwards from the shelf date and add buffer against the stages they do not control:
  1. Start from the date goods must be in the warehouse.
  1. Subtract freight time - use the slower estimate, not the optimistic one, especially in peak season.
  1. Subtract customs clearance.
  1. Subtract inspection and packing.
  1. Subtract production (25-30 days for branded stock) plus the sampling week.
  1. Subtract buffer for the unknowns: sample revision, artwork change, freight delay.
If the resulting order date is already in the past, the order is late before it starts - and the right answer is either a faster option (stock shapes, air freight) or a moved launch date.

Seasonal Planning

Plan backwards from the shelf date through every stage, including freight.

Production calendars fill ahead of peak retail seasons. For launches aimed at holiday retail, the order should be placed well before the autumn production peak - and the packaging production runs on its own schedule, so both should be booked together. For brand launches with a fixed date, the safest sequence is: approve your sample early in a quiet production window, and hold your production slot with a deposit while artwork finalises.

Lead Time FAQ

What is the standard production time? Branded stock shapes typically run 25-30 days after artwork approval. Unbranded stock can ship in as little as 3 days. Custom shapes add mould cutting and sample approval before production.
Why does my tracking not move for a week? After production there is inspection, packing and handover to the forwarder - plus the first consolidation leg. Ask for the packing photos and the forwarder handover date; once the shipment is on the water or in the air, tracking resumes.
Can you expedite an order? Sometimes: a stock shape with a laser logo has the shortest runway of any branded order, and DDP air shortens the freight leg. Tell us the deadline and we will quote the fastest realistic route rather than promise the impossible.
How far ahead should I order for a launch? Work backwards through every stage and add buffer. As a rule of thumb, a branded launch order should be placed two to three months before goods must be in your warehouse, and more if DDP sea freight or peak-season production is involved.
